This policy applies to the COLORJET Management Suite Android application, its connected service portal, www.colorjetbd.com, the website AI Business Assistant, public forms and related COLORJET Bangladesh digital services. COLORJET Bangladesh is responsible for the personal data described here.
Information we process
Account information: name, business email, phone number, employee or user identifier, assigned role and encrypted password hash for authorised accounts.
Customer and service information: name, phone number, district or service address supplied by the user, machine model or serial, service issue, preferred visit time and ticket updates.
Quotation and inquiry information: name, phone, optional email, company or business details, product interest and the message voluntarily submitted through a quotation or inquiry channel.
Operational and security information: role permissions, sign-in time, request references, IP address, browser or device type, failed sign-in attempts and limited security or audit events needed to operate, troubleshoot and protect the service.
How we use information
We use information to provide secure account access; respond to product, quotation, installation, warranty and technical-service requests; schedule service work; maintain support history; coordinate authorised staff; protect the service; prevent misuse; and meet legitimate business, accounting, contractual or legal record-keeping requirements.
Google Play Data safety and device permissions
The app collects only information supplied for account access, quotation, service, support and security. The declared purposes are app functionality, account management, customer support and security or fraud prevention. COLORJET Bangladesh does not sell personal data or share it for third-party advertising.
The approved feature scope does not require precise or approximate location, camera, microphone, contacts, SMS, call logs, photos or media-library access, payment-card data, advertising identifiers or overlay access. Internet and network-state access are used only to connect the app to its secure backend, and production data must be transmitted over HTTPS.
The previously audited AAB declared permissions that are not required by the verified feature scope. That legacy build must not be uploaded again. Before publishing the corrected Google Play release, the final Android manifest must be verified to ensure that camera, microphone, location, storage or media and overlay permissions are absent. If a future feature needs sensitive data or permission, COLORJET will explain the purpose before collection, request permission at the point of use and update this policy and the Google Play Data safety declaration before release.
AI Help and website AI Assistant
Management Suite AI Help uses a controlled knowledge base of verified COLORJET product, company and service information for general guidance. It does not make legal, financial, employment, warranty, price or credit decisions.
The website AI Business Assistant stores a submitted profile, consent time, question and generated answer so authorised staff can provide business follow-up. It does not read private ERP records, live stock, private employee records, passwords or payment-card data. Do not enter passwords, card details, national identification numbers or confidential third-party data into an AI prompt.
Sharing and service providers
COLORJET Bangladesh does not sell or rent personal information. Information is available only to authorised COLORJET personnel and service providers or connected business systems necessary to host, secure or deliver the requested service. We may disclose information where required by applicable law, a lawful order or the protection of users and the service.
External services such as WhatsApp, Google Maps, email and social platforms apply their own privacy terms after a user leaves a COLORJET service.
Security
We use role-based access, password hashing, authenticated sessions, CSRF protection for administrative changes, sign-in throttling, server-side secret storage, upload validation, restricted server folders and security or audit records. No online system can guarantee absolute security, so users should keep credentials private and report suspected unauthorised access promptly.
Retention
App account, quotation and service information is kept only as long as needed to provide the service, manage the business relationship, protect the system or meet a lawful record-keeping obligation.
Website inquiries, AI lead profiles and ordinary CRM conversations are normally kept while active and for up to 24 months afterward. Customer, invoice, warranty, service and commercial records may be retained longer, including up to seven years where accounting, contract, fraud-prevention, dispute or legal requirements apply. Security logs are normally kept for up to 12 months. Backups may take 30 to 90 days to expire.
Verified account or data-deletion requests are normally completed within 30 days. After completion, a minimal non-identifying request reference and outcome may be retained for up to 180 days for security and audit purposes.
Access, correction and deletion
Users may request access to, correction of or deletion of eligible personal data, deletion of an account and associated data, or deletion of information submitted through a quotation or service request. A request can be submitted from the public Data Deletion page without installing the app.
COLORJET verifies identity before acting so another person cannot access or delete a user's information. Records required for an active payment, contract, warranty, service, security investigation, legal duty or dispute may be restricted or retained for the applicable period.
Marketing choices
Promotional communications are sent only where an active consent or another lawful basis applies. A recipient may opt out through the message channel or by contacting COLORJET Bangladesh. Service, warranty, security and transaction notices may still be sent when required to fulfil an existing request or agreement.
Children
The app and business services are intended for authorised employees, business representatives and customers and are not directed to children. COLORJET Bangladesh does not knowingly create accounts for or collect personal data from children.
Changes
The effective date on this page will be updated before a material change to data collection, device permissions, service providers or app functionality is published.

How AI conversations are processed
The public assistant stores the question, grounded answer, source references, feedback and a one-way IP hash for abuse prevention and service improvement. If a server-side AI provider is enabled, only the visitor question and approved public COLORJET knowledge are sent to that provider; API credentials and private ERP, supplier-cost, employee, password and payment-card data are not sent from this website. Default conversation retention is up to 730 days and may be shortened by an administrator. You may request deletion using the public data-deletion channel.
